What is Amex reason code P03?
Amex reason code P03 means "Credit processed as charge." It sits in the Processing Errors group. The Card Member is saying that a transaction should have gone through as a credit, but it was sent as a charge instead.
In plain terms, the customer expected money back and instead saw a bill. That is why the dispute feels urgent to them. They are not claiming fraud or a bad product. They are claiming a processing mistake.
Before you ever hear about it, the Card Member and American Express try to work it out. A disputed charge is first worked on with the Card Member before the merchant is contacted. If more information is needed, the merchant receives either an Inquiry or a Chargeback.
Common causes of P03 chargebacks
Most P03 disputes trace back to one of a few mistakes.
- A refund was keyed in as a sale. The terminal or software was set to the wrong transaction type.
- A staff member reversed a charge by hand and created a new charge instead of a credit.
- A refund was promised but never processed, so the customer saw the original amount still on the bill.
- A billing system error sent a credit file through as a charge file.
Any of these can make a customer think you billed them by mistake. From their side, the fix is a dispute.
How to respond to a P03 chargeback
First, figure out which notice you got. A merchant gets an Inquiry when a Card Member disputes a charge that cannot be resolved with the documents on file. If the Card Member gives enough information, the merchant's account may be debited upfront.
If your reply settles the dispute on time, there is no Chargeback. After a Chargeback, the merchant can send supporting documents that might reverse it. The Chargeback is undone if the merchant's reply addresses the dispute successfully and on time.
What if you do nothing? If the merchant does not reply in time or with the requested documents, the Chargeback stands. You lose the amount and possibly a fee.
For P03, your proof should show the charge was correct. A merchant can show proof that the charge was submitted correctly. Include a copy of the charge record or credit record. A good reply explains the documents, addresses the specific dispute reason and describes the steps taken to resolve it.

How to prevent P03 chargebacks
Prevention is mostly about catching refund mistakes before they post.

Train staff to check the transaction type before finishing a refund. Charge and credit buttons sit close together on many terminals.

Void the original sale instead of creating a new transaction when a customer cancels on the spot.

Match refunds to their original sales in your records. A weekly check catches reversals that posted wrong.

Tell customers when to expect the credit on their statement. Many disputes start because the credit had not shown up yet.

Fix billing software that sends credits as charges. If it happens once, it will happen again.
