What is Amex reason code P04?
Amex reason code P04 means "Charge processed as credit." It sits in the Processing Errors group. The Card Member says a credit should have been submitted as a charge. In plain terms, the money moved the wrong way. Something that should have been a bill to the customer went through as a refund to them instead.
This code is often a bookkeeping slip, not a fraud claim. It usually points to a data entry error or a system setup problem on the merchant side.

Why you received a P04 chargeback
A disputed charge is first worked on with the Card Member before the merchant is contacted. If more information is needed, the merchant receives either an Inquiry or a Chargeback.
You get an Inquiry when the Card Member disputes a charge that cannot be resolved with the documents on file. If the Card Member gives enough information, your account may be debited upfront. That debit is the Chargeback.
Common causes of a P04 include:
- A clerk keyed a credit when they meant to run a charge.
- A terminal or software setting flipped the transaction type.
- A refund was posted to the wrong card or the wrong sale.
- A batch error sent credits in place of charges.
Compare the P04 claim with your own records. If you owe the customer money, the dispute may be fair. If you ran the sale correctly, you can fight it.
How to respond to a P04 chargeback
The best way to respond is online through your Merchant Account. Do not mail papers if you can file them there instead.
Your supporting documents should include a copy of the charge record or credit record. That single record usually settles a P04, because the dispute is about which way the money moved.
A good reply explains the documents, addresses the specific dispute reason and describes the steps taken to resolve it. For P04, that means:
- Show the original sale record with the amount and date.
- Show the credit record, if one exists, and what it was for.
- Explain in one or two sentences why the processing was correct.
- Note any fix you made, such as reprocessing the sale the right way.
If your reply settles the dispute on time, there is no Chargeback. After a Chargeback, you can send supporting documents that might reverse it. The Chargeback is undone if your reply addresses the dispute successfully and on time. If you do not reply in time, or you send the wrong documents, the Chargeback stands.

How to avoid P04 chargebacks
Prevention is mostly about catching entry errors before the batch closes.
- Check credits before end of day. A quick review of the day's refunds catches a keyed error while it is easy to fix.
- Train staff on the difference between a charge and a credit on your terminal.
- Review your software settings after any update. A flipped transaction type is a common cause.
- Match every credit to a real sale. A refund with no matching charge invites a dispute.
Fix mistakes fast when you find them. A corrected transaction today is cheaper than a dispute next month.
